The Administrator will be responsible for assisting the team in recruiting and developing graduates and young people. In addition, the role supports our Finance and Employment Services team.

A key part of both of these responsibilities is working to improve our processes and providing excellent customer service.

The role is a fixed term role for 6 months, with extension based on performance and funding. There are possibilities for progression internally which may become available during the position. Previously this role has led to a promotion to Recruitment & Development Coordinator, for example.

Outputs and Key Tasks


  1. Ensure the efficient and successful recruitment of graduates and young people for clients across the UK to specified deadlines.
  2. Ensure regular and efficient contact with colleagues and clients where required.
  3. Maintain all documentation, processes and procedures with efficient office systems.
  4. Maintain accurate, transparent and timely purchase ledger records.
  5. Ensure that personnel records accurately reflect holiday and absence data to facilitate monthly payroll process.

Key Tasks


  • Advertise vacancies to graduates using websites, presentations, adverts and mailings.
  • Shortlist and telephone interview graduates and young people for roles in ethical and responsible businesses.
  • Assist the Recruitment & Development Coordinator / Manager with recruitment, training and support administration.
  • Help arrange Change Agents UK attendance at networking and training events, coordinate travel bookings and process relevant paperwork.
  • Assist with maintaining and developing the Change Agents UK Academy online learning platform.


  • Purchase ledger – input purchase ledger invoices to Sage accounting system
  • Deal with supplier queries, reconcile supplier statements and resolve any reconciling items

Personal Specification

  1. Excellent communication skills: face-to-face, over the phone, email and other internet based communications i.e. social media.

  2. Demonstrate a very high level of attention to detail. Accurate data management and ability to maintain paper and electronic files.

  3. Ability to be discreet with clients and employees and to appreciate the need for confidentiality around sensitive data.

  4. Excellent organisational skills, including the ability to take responsibility and work under own initiative, coping with a demanding workload and prioritising effectively. Demonstrable ability to work to set deadlines and agreed milestones.

  5. Basic understanding and appreciation of the process and objectives of Change Agents UK’s recruitment and employment services. Willing to be inducted into, and carry out the Change Agents UK processes.

  6. Understanding of, and commitment to, equality and objectivity in the recruitment process.

  7. Ability to maintain positive, professional relationships with clients, candidates and colleagues.

  8. Fully computer literate in Microsoft office packages.

  9. Interest and understanding of basic sustainability and behaviour change concepts and issues.


  1. Previous experience of working in recruitment, Human Resources or Finance.

  2. Some knowledge of bookkeeping and accounting systems (Sage in particular).

  3. Previous experience in a sales and/or marketing environment.

  4. Knowledge and experience of behaviour change for sustainability.

Position Details

Employer: Change Agents UK Trading Ltd.

Salary (per annum pro rata): £17,000

Length of Opportunity: 6 months initially

Hours/Week: 37.5 (may be a possibility to work part-time / job-share)

Work outside normal hours: There may be some work outside of normal office hours during training and induction training/events. Change Agents UK operates a flexi-time policy.

Annual leave: 25 days

Probation period: 2 months
